Welcome to Tendium!

This guide helps you set up your Tendium account for success, with tips and tricks to get started and get your Tender Filter settings right.

The first time you login, you will also get a guided tour inside the platform, showing you how to navigate inside Tendium.

Part 1: Set up your Tender Filter

Creating your Tender Filter

The first time you login, the Tender Filter setup will start automatically. Here are the steps the setup takes you through.

Step 1: Describe what you’re looking for

First, you will give a short description of your company and the opportunities you’re looking for. This description will also help you sort your Tender Filter by what’s most relevant for your business. 

Step 2: Select relevant industries

The next step is to select industries (CPV codes) matching your offer. Select the industry codes you think are relevant for your business. You can also use the advanced manual setup if you want to select CPV codes manually. 

Tip; Buyers may use the “wrong” industry code occasionally, so it’s safer to go broad with your selection.

Step 3: Select relevant regions

Next you’ll select the geographic regions relevant for you. Both industry codes and regions can be changed later if needed.

Step 4: Sort relevant tenders

Lastly, you will be presented with a couple of tenders, to mark as relevant or not. This helps show the Filter what is relevant for your business and what’s not.

Only focus on what the tenders are about, and not the regions or type of buyer. Click Relevant for relevant tenders until you get no more suggestions.

Now you’ve created your Tender Filter!


Part 2: Manage Tender Filter settings

Tender Filter settings

After the initial Tender Filter setup, you can find your filter settings to the left in your Active Tenders feed.

Here, you can add and change:

  • Industry codes and regions

  • Keywords

  • Estimated value, buyers, publish date and status

Add keywords

You can use keywords to narrow down your Tender Filter results. You find keyword settings to the left in your Active Tenders feed. 

Click on Keywords, add a word in the keyword field, and click Add, or press enter on your keyboard. Don’t forget to click Save changes to keep your updates or Undo to go back to the previous settings.

It is also possible to combine keywords if you only want to match towards a tender if both keywords are present. If you want to combine keywords you add the words with a plus sign (+) in between them.

Example: If you add “consultant + web”, the filter will only catch tenders with both of these words. Note, they do not have to be in the same document, as long as both words are present somewhere in the tender.

Before adding a lot of keywords, check out the different additional keyword settings in the Advanced settings section. You can for example choose if you want to filter on exact matches or “begins with”.

Advanced keyword settings

You can use advanced keyword settings to fine-tune your Tender Filter. You find these settings under Keywords to the left in your Active Tenders feed. 

Here, you can also delete keywords that you no longer want to be included in your filtering. Just hover over the word you want to delete and click on the trashcan appearing to the right.

Narrow and broad filter logic

Open the advanced keyword settings to choose the main filter logic. 

  • Narrow filtering is pre-selected and means that you’re searching for your keywords within your industry codes. So for a tender to show up in your feed, it needs to match both an industry code and a keyword. 

  • Broad filtering means matching either an industry code or a keyword.

Where the keyword is mentioned

You can also select where to search for your keywords. By default, your filter is searching in both the tender notices and documents. You can narrow this down by searching in only the notice or only in the documents. Just click on Notice and documents following the word if you want to change where to search for it.

Exact match or begins with

By default, keywords are set to exact match, which means you’re only matching towards the exact word you’ve added. You can change it to “Begins with” to match with all tenders where the keyword is mentioned with a different ending. 

Example: if you add “Consult” and use the Begins with logic you’ll also match on “Consultant”, “Consultants”, “Consultancy” etc.

Additional Tender Filter settings

Besides industry codes, regions and keywords, there are additional Tender Filter settings you can use to fine-tune your tender matches. You find these settings to the left in your Active Tenders feed. 

These filters are usually only relevant if you only want to match on tenders that have a certain value, or are posted by specific buys.

Estimated value

You can select to only match with tenders within a range of estimated value. Tenders with missing estimated value are included by default. You can change this by checking the box Exclude tenders where estimated contract value is missing.

Buyers

By default, you match with tenders from all buyers. If you leave the buyer field empty, you get tenders from all buyers. 

Note that if you add certain buyers, you will only match with their tenders. So by adding a specific buyer, your Tender Filter gets more narrow. If you want to add a specific buyer, search for the name in the search field and then select the buyer with the correct name and an organisation number in the results list.

Publish date and status

You can also adjust publish date to last 30 or 60 days and change tender status to active, expired, awarded, or all. This can help you review historical matches.

Sorting and notifications

In your Active Tenders feed, you see all tenders matching your Tender Filter. By default they are sorted on what’s most relevant for you based on the setup when you created your Tender Filter. You can change this to being sorted on either publishing date or deadline instead, if you prefer that. In the top right corner, you can change sorting from relevance to publish date or deadline. 

By clicking Options, you can adjust your email notification settings or rename your Tender Filter. Click Save to keep any changes.

Search all tenders

You can search for any tenders by clicking on Find in the main menu and then go to All (located under the name of your Tender Filter to the left of your tender feed). This allows you to search across both active and previous tenders outside of your Tender Filter. If you want to search for tenders within your Tender Filter profile, you’ll find a search field in the top right corner of your Active Tenders feed.


Part 3: New tenders

Reviewing new tender opportunities

When going through your new tender matches, hover your mouse over a tender to see any matched keywords, and the options to hide, qualify, or open the tender. 

If a tender is instantly relevant for you, click on Qualify to save it to your Bidflow. If you need more information before taking the next step, click on “View tender” to view an AI summary and to find the tender documents.

Not interesting? Click Hide. Once a tender is handled (either qualified or hidden), it will no longer appear in your Tender Filter list for any of the users in the account. To see all tenders, including handled ones, go to Our actions in the bottom of your filter settings on the left hand side and select All.

Tip; Found an irrelevant tender and want to understand why you matched with it? Click on the title to open the preview. Then click on the Matches tab to see which keywords and/or industry codes you have matched on. This helps you to understand which adjustments you can make to avoid similar tenders showing up in the future.


Part 4: Bidflow

Manage opportunities in your Bidflow

The Bidflow is your birds eye view of all the tenders you choose to explore further, whether you just do a more in-depth evaluation or end up creating a bid. 

When you Qualify a tender, it’s moved to your Bidflow. You find your Bidflow from the main left hand menu. Here, you can update the status of each opportunity by dragging and dropping tenders between different columns. When you submit a bid or win a tender, it does not automatically update the status in your Bidflow, so remember to move it to keep track of the outcome of each deal.

You get automatic email updates about all tenders that you have in your Bidflow, for example if any documents is added/updated, new Q&As or changed dates. If you do not want email sendouts like this, you can change your email settings by clicking on “Options” in the top right corner in your Bidflow.

If a tender is no longer a relevant opportunity, you can reject it. You reject a tender by opening the detailed tender view and clicking on Reject in the top right corner.
