Change the status of a tender

Once you've created your first bid space, it's time to start saving tenders to it!

When you screen a tender that appears in your tender monitoring feed and decide it's a good match, you'll be prompted to mark it as Interesting. Once a tender has been marked as interesting, you can then save it to one of your bid spaces.

A bid space allows you to keep track of the status of each of the tenders you've qualified, from the initial screening process all the way through to submitting and (hopefully!) winning a contract. So should you choose to proceed and bid on the tender, bid spaces becomes a useful tool to centralise all your bidding work and keep track of each bid's progress with your team.

Bid spaces can be used in either Kanban or table mode, which can easily be switched to view your pipeline data in different ways. How you use each bid space is up to you - whether it is to store the framework agreements you're a part of and any associated call off notices, or to complete a traditional bid submission process. The tool's flexibility means that it can be used according to your team's sales pipeline structure or preferred tender qualification process, whatever that may be.

Update the status of a tender

Saving a tender to a bid space centralises all the information you need to complete a bid - the procurement requirements, documents, deadlines, and status of the bid itself. From a bid space, you can view all the procurement details, links, and team activity, just as you would from the monitoring view.

Changing the status of a tender allows you to keep track of your team's progress in evaluating each contract or any potential bids, helping to keep everyone aligned and abreast of progress throughout your pipeline. When a status is changed it does not affect any of the other data stored in a tender, nor the ability for other teammates to view it.

Change status of a tender

To change the status of a tender, you can either drag and drop it from one column to another.

Or, select the bid to view it and then select its new status from the dropdown menu in the right sidebar.

When you do this, the tender will be moved to the relevant column.

Reject bid

Every bid process is different, with different factors affecting your work. This is why it is usual to decide to no longer work with a bid. Whether a bid has the status Interesting or Final review, you can choose to reject the bid. All rejected bids will be filtered out of the bidspace, leaving only active bids visible.

  1. Click on a bid in your bidspace.
  1. Click on Reject in the upper right corner. The bid will now be filtered out of the bidspace.

Show rejected bids

You can show all your rejected bids at any time.

  1. Click on the filter icon in the right corner.
  1. Click on Rejected. You will now see a dashboard with all of your rejected bids. To show your active bids again, simply click Active.
Tip: Seeing which status all rejected bids have in your bidspace can help you work proactively with your bids.

Delete a tender from a bid space

If you've added a tender to a bid space and decide that you are no longer interested in it or want to clean up tenders you've decided not to bid on, you can easily delete a tender from your bid space.

  1. Select the bid you'd like to delete.
  2. From the right sidebar, click the three horizontal dots next to the bid status and select Delete bid from the dropdown menu.

How do I customise the statuses of my bid space?

Currently you cannot customise the number of statuses in a bid space or their labels. But this feature is coming soon, so stay tuned! 🤗

Who can change the status of a tender?
