Getting started
This walk-through guide is designed to help you navigate the platform seamlessly from your very first login. Follow these steps to understand how to discover, evaluate, and manage public tender opportunities efficiently.
Tender filter & settings
The Tender Filter
When you log in for the first time, you will land directly on your Tender Filter. In the middle of the page, you will see a list of all current tenders that match your active filters. On the left hand side you can see which filter settings are currently active for the specific Tender filter.
Switching Filters: If your company has multiple Tender filters, click the small arrow to the right of the filter name to switch between them and select the filter you want to view.
If you only see a globe icon with the text "all" instead of specific filters, please contact your account administrator to update your access permissions.

Reviewing Filter Settings
Directly below the filter selection, you can inspect the active configuration: including the specific keywords and CPV codes being monitored.
Important Notice: Any modifications made to these filter settings will instantly affect all colleagues who use this shared filter simultaneously. Discuss changes internally before applying them. You can make adjustments without saving immediately; once finished, a button will appear allowing you to choose between Save, Save as new or Undo.

Evaluating & reviewing tenders
Previewing a Tender
Click on any tender in the list to open a preview window. This display provides an automated summary generated and reviewed by Tendium's AI, allowing you to instantly understand the scope of the contract.
Detailed overview & documents
If you need deeper insights, click View Tender. This section grants comprehensive access to all tender details, official tender documents, and direct links to the external submission portal.
To return to your main tender list at any time, simply click "Close" or press the Escape (ESC) key on your keyboard.
Qualifying & managing your Bidflow
Qualifying
When you find an interesting opportunity that your company should pursue, click Qualify. You will be prompted to choose which Bidflow to save it to. If your account only has access to a single bidflow, it will automatically save to that workflow when clicking.
Pro-Tip: Hovering your mouse over the status symbol of a previously qualified tender lets you see which specific bidflow it belongs to and who is working on it.
Utilizing the Smart Checklist & Louie
Once qualified, the tender enters the initial qualification stage. Here, you can utilize the Smart Checklist to review crucial criteria before making a final decision to bid. These evaluation questions are set up once, apply to all tenders across the company, and are the same for every user. The questions are automatically answered by Tendium's AI.
Important Notice: The Smart Checklist is shared across the entire company. Avoid adding or modifying evaluation questions without consulting your team internally first.
If you want to ask questions beyond your Company Smart Checklist you can use our AI assistant Louie on the left hand side. There you can ask Tender specific questions, and these questions are only saved in Louie on that specific tender and not on your Smart Checklist.Both Louie and the Smart Checklist are only based on the information in the Tender documents provided and not any other sources.

Assigning responsibility & moving tenders
In the left column of the tender view, you can access summaries, documents, and submission details. You can also assign an owner to the tender - either yourself or a colleague.
If a tender is accidentally placed in the wrong bidflow, open the tender by clicking "View in Qualify", then hover over the Bidflow name in the bottom left corner of the screen and select Move tender to relocate it to another Bidflow.
Navigating the Bidflow
Click Bidflow in the main left menu to view all qualified tenders and track the progress of each opportunity through the various stages. The bidflow can be viewed as either Kanban or Table. Use the arrows under the Bidflow title in the main left menu to switch between different bidflows if your company utilizes more than one.
Historical management & preferences
Accessing handled tenders
To view items your team has already handled, scroll to the absolute bottom of the main Tender Filter column and click Our actions > All. This list displays all handled tenders, both those that were hidden or rejected, and those that were successfully qualified into a bidflow.
Configuring email notifications
To manage email notifications, you can either go to the current Tender filter and click "Options" in the top right corner. There you can choose whether you want them on or off and how often you want to receive emails.
You can also click on your profile (your initials in the bottom left corner) and then select "Notifications" in the menu on the left. There you can manage all notifications and choose to both turn on and turn off notifications from specific filters and areas. It is currently not possible to set notifications for another user, all notifications are managed when the user are logged into their account.
